Overview
We are seeking a highly organized, detail-oriented Production Data Coordinator to join our team in an essential office-based role. You will act as the central information hub for our manufacturing operations, taking loosely structured updates from the shop floor and transforming them into clear, accurate data. You will receive a continuous stream of emails, inventory counts, invoices, and spreadsheet updates from production staff, vendors, and the shipping/receiving department.
Your primary mission is to consolidate this information and ensure our master spreadsheets and Epicor software remain perfectly up to date. The ideal candidate has an "accountant-type" brain—someone who thrives on data accuracy, organization, and finding order in complex information. You must also be excellent with people, possessing the ability to effectively communicate with and manage updates from folks on the floor while deeply understanding how material flows through a manufacturing environment.

Responsibilities
- Central Data Management: Act as the primary office hub for incoming production data. Receive and process loosely structured updates, emails, and field spreadsheets from shop floor operators, shipping/receiving, and vendors.
- System & Spreadsheet Maintenance: Accurately input, reconcile, and maintain all critical information within master Excel spreadsheets and our Epicor software system.
- Inventory & Invoice Tracking: Process and track inventory counts, material records, and incoming invoices to ensure our digital records flawlessly match physical stock and vendor agreements.
- Cross-Functional Communication: Effectively communicate with shop floor personnel to track down missing information, clarify discrepancies, and keep project progress updated.
- Data Entry & Reporting: Compile accurate daily reports on production progress, material usage, and labor, providing management with a clear, real-time picture of operations.
- Process Organization: Apply a meticulous, analytical approach to handling, documenting, and tracking all production components, ensuring nothing falls through the cracks.
Responsibilities
- Act as the Data Bridge – Serve as the primary point of communication between shop floor operators, warehouse staff, and upper management, ensuring everyone has the critical, real-time information they need.
- Manage ERP & MES Data – Accurately maintain and update records of materials, labor, and finished products utilizing complex ERP and MES (Manufacturing Execution System) software.
- Custom Reporting & Analytics – Compile daily reports on production progress and build custom spreadsheets in Microsoft Excel to track data, catch early trends, and provide actionable insights to supervisors.
- Active Inventory Tracking – Monitor supply levels to ensure materials are always available for production. Actively walk the shop floor to audit inventory, hunt down physical discrepancies, and ensure digital records match physical stock.
- Problem Solving & Chaos Management – Handle deadline pressures with a cool head. Proactively resolve material delays or production bottlenecks by coordinating quickly with the right team members.
- Maintain Strict Organization – Apply a high attention to detail for handling, documenting, and tracking all production components, maintaining accurate records at every stage of the manufacturing process.
Qualifications
Required:
- High School Diploma or GED.
- 1–3 years of experience in clerical, data entry, or administrative roles (experience supporting a manufacturing, warehouse, or construction environment is highly preferred).
- Exceptional attention to detail with an analytical, "accountant-like" mindset for data accuracy and organization.
- High proficiency in computer operations, specifically Microsoft Excel (managing master spreadsheets) and Microsoft Outlook.
- Strong interpersonal and communication skills, with a proven ability to build rapport and effectively coordinate with manufacturing personnel.
- Ability to sit at a desk, manage multiple streams of incoming data, and maintain accuracy under deadline pressures.
Preferred Skills:
- Hands-on experience working with Epicor or similar ERP (Enterprise Resource Planning) software.
- A strong foundational understanding of how materials flow through a manufacturing or fabrication setting.
